STARS Integration with Stanford eMail & Calendar

Background

STARS integrates Learners' registrations with the Stanford eMail and Calendar system (commonly known as "Zimbra"). When a Learner registers for a session-based* training event in STARS, an invitation will automatically be sent to the Learner’s Stanford Calendar, complete with activity title, date, time, and location information.  As with ordinary meeting proposals, the learner will also receive an email APPOINTMENT notice of the calendar addition.

If the Learner subsequently “drops” the training event in STARS, the event will automatically be removed from the Learner’s Stanford Calendar.

Instructors for session-based training will also receive calendar invitations to their Stanford Calendars for the sessions they lead/teach.

Calendar FAQs

Do I need to “Accept” the calendar proposal in order to confirm my class registration?
No. The event is added to your calendar as a courtesy reminder only. You may accept, decline, or delete the event entirely from your calendar and it will have no impact on your registration.

What happens if I delete the event from my calendar?
You may delete the training event from your calendar without any impact on your registration for the class. In fact, it is important to be aware that deleting the event from your calendar does NOT cancel your class registration. To cancel registration for a training activity you must login to STARS and actively DROP the class.

What happens if I drop a class in STARS?
Dropping a class in STARS will delete the event from your Stanford calendar. You will receive an email REMOVE notice and the event will automatically be removed from your calendar.

Can I sign up for a class through my calendar?

No, the calendar event is merely a courtesy reminder from STARS. You must register for training/learning activities in STARS.

I use Outlook rather than the web-based Stanford eMail and Calendar; will STARS add training events to my Outlook calendar?
If you use the Outlook Connector (ZCO), the integration will pass the STARS invitation to your local Outlook email and calendar, where you can "Accept" or "Reject" the invitation. If you "Accept" the invitation, the entry will be added to Outlook. If you "Reject" the invitation, the entry will be removed from Outlook.

I use Thunderbird rather than the web-based Stanford eMail and Calendar; will STARS add training events to my local calendar?
If you use the Lightning add-on to Thunderbird, the integration will pass the STARS invitation to your local Thunderbird/Sunbird email and calendar, where you can "Accept" or "Decline" the invitation. If you "Accept" the invitation, the entry will be added to Thunderbird. If you "Decline" the invitation, the entry will be removed from Thunderbird.

I use Apple Mail rather than the web-based Stanford eMail and Calendar; will STARS add training events to my local iCal calendar?
If you also use Apple iCal configured for the Stanford Calendar, the integration will pass the STARS invitation to your local iCal calendar, where you can "Accept" or "Reject" the invitation. If you "Accept" the invitation, the entry will be added to iCal. If you "Reject" the invitation, the entry will be removed from iCal.

I do not use the Stanford eMail and Calendar; will STARS add training events to my calendar?
No. At this time, the STARS / Calendar Integration is designed only for the Stanford eMail and Calendar system.

I did not receive an invitation in my Stanford Calendar; does STARS have my correct Stanford eMail address?
Calendar invitations are only sent to your Stanford.edu account and Stanford Calendar. Please be sure your University email address is correct in StanfordYou (https://stanfordyou.stanford.edu), and your address is marked as “public" or "Stanford-only.” If you are a student, your privacy settings are managed in Axess.
